CLC | Executive Administrative Assistant

Located in Prince Rupert with some travel to Lach Klan (Kitkatla), the Nation is looking to add an experienced Executive Assistant to the Gitxaala Education and Culture Division team. Reporting to the Director of Education and Culture, the Executive Assistant will be responsible for providing support for the day-to-day operations of the division. This full-time continuing position will work Monday-Friday from 8:30-4:30 but may be called upon to work outside of these hours depending on needs and planned activities.

About The Role:

As a member of the Education and Culture team, the Executive Assistant is responsible for providing support to the Director’s office, merging the business priorities and objectives of the Nation with departmental objectives and practices. You will facilitate communications and interactions internally across departments and with external stakeholders. You will help to support the implementation of division initiatives and provide member support as needed.

Key Responsibilities include:

Providing confidential support to the Director’s office to advance division and departmental objectives.  You will have an ability to establish and foster strong working relationships within and external to the Nation.  You will have the ability to maintain composure and perspective in difficult situations and in managing conflict. You will have the ability to handle sensitive information with discretion.

  • Facilitating communications, including minute-taking, reporting, and presentations
  • Strong time management and organizational skills including schedule maintenance.
  • Conducting research and maintaining accurate records
  • Helping to plan and organize events such as forums, fundraisers, staff activities
  • Exceptional attention to detail while keeping important information and documents Organized physically, and electronically
  • Maintaining a high degree of discretion and confidentiality

As the Ideal Candidate:

  • You hold a Diploma in Business or Office Administration or a Certificate combined with experience.
  • You bring 2-3 years of experience gained working in an administrative capacity.
  • Experience collaborating with diverse client groups including First Nations.
  • You have excellent interpersonal and communication skills, both oral and written, with the    ability to deal with people in a professional manner.
  • You are a collaborator with the capacity to build relationships across departments yet work independently and with confidentiality to serve department and learner needs.
  • You are highly proficient in Microsoft Office Suite and other student and/or information systems with the ability to learn quickly.
  • You have demonstrated the ability to work in a fast-paced environment with competing priorities and deadlines.
  • Your ability to successfully undergo a criminal records review or police record check is required.
  • Annual salary range is $50-55,000 based on qualifications and experience.
