The Opportunity

The Gitxaala Territorial Management Agency is seeking an administrative and office support staff for full time employment in their Prince Rupert Office. Working with the existing team of experienced staff, the administrative and office support staff playa the critical role in the the day-to-day management of the office and serves as a key point of first connection with community members.

About Us

The Gitxaala Territorial Management Agency plays a lead role in asserting and maintaining the rights of Gitxaala Nation, in the course of making informed decisions for the utilization, management, protection, and enhancement of the Nation’s resources. Gitxaala Nation’s territory covers a larger portion of the North Coast of what is now called British Columbia, and the Territorial Management Agency is a community-driven organization dedicated to the preservation and sustainable management of the environmental, cultural and economic resources in Gitxaala territory.

Position Overview

Under the supervision of the GTMA Director, the Administrative and Office Support Coordinator is the first point of contact for visitors, community members, and partners, providing reception services and general administrative support to ensure smooth day-to-day operations. This role supports the leadership and staff by coordinating office activities, handling routine correspondence, and maintaining a welcoming, well-organized work environment. The position requires strong communication skills, cultural sensitivity, and the ability to manage multiple tasks with attention to detail.

Key Responsibilities:

· Reception and Community Interface

o Greet and assist visitors, community members, and partners in person, by phone, or by email in a courteous and respectful manner.

o Respond to general inquiries and direct questions or concerns to the appropriate staff member.

o Support community engagement by helping coordinate notices, meetings, or event logistics as needed.

· Administrative Support

o Prepare, format, and proofread documents, reports, and correspondence.

o Schedule meetings, book meeting rooms, and support calendar management for leadership staff.

o Maintain paper and digital filing systems, ensuring documents are stored according to organizational protocols.

o Assist with incoming and outgoing mail, deliveries, and office supply orders.

· Office Management

o Monitor office supply inventory and restock as needed.

o Coordinate the maintenance of office equipment (printers, phones, etc.).

o Help maintain a clean, safe, and organized office environment.

o Support staff with basic IT and administrative troubleshooting or liaise with external service providers.

· Additional Duties

· Provide logistical support for workshops, gatherings, or stewardship events.

· Assist with document distribution, signage, or communications for in-community events or meetings.

· Maintain confidentiality and uphold cultural and organizational protocols at all times.

Qualifications:

· High school diploma or equivalent; post-secondary education in office administration or a related field is an asset.

· Minimum 2 years of experience in administrative or office support roles.

· Strong interpersonal and communication skills, especially when working with community members.

· Proficient with Microsoft Office (Word, Excel, Outlook) and general office equipment.

· Organized, detail-oriented, and able to manage multiple priorities.

· Understanding of or willingness to learn about First Nations governance, stewardship, and community protocols.

Salary Starting: $ CAD 40,000 – 54,000 based on level of experience.
